Having recently joined a Series B SaaS company as the first dedicated HR Operations specialist, I inherited a product launch process that was largely undocumented and inconsistent. My background in HRIS implementation taught me the value of structured workflows, so I undertook a three-month project to map and rebuild our launch process using the existing Atlassian stack.

Our primary goal was to create a single source of truth that could scale with the engineering and product teams, while providing clear visibility for People Ops, Marketing, and Sales. We settled on a dual-system approach leveraging Jira for task execution and Confluence for documentation and approval gates.

The core workflow is structured as follows:
* **Initiative & Scoping (Confluence):** A standardized launch template captures the initial business case, target personas, and success metrics. This page is linked to a parent "Product Launch Hub."
* **Project Creation (Jira):** Using a custom project template, we create an epics for each functional pillar (e.g., "Engineering," "Go-to-Market," "Internal Enablement"). Each epic contains story-level tasks with clear assignees and due dates.
* **Dependency Mapping (Jira):** We use issue links ("blocks/is blocked by") to create dependencies between engineering milestones and downstream tasks, such as sales training or benefits configuration for new roles.
* **Stage-Gate Reviews (Confluence/Jira):** Key decisions (e.g., final scope approval, launch readiness) are managed as approval tasks in Jira, with the supporting documentation and checklists residing in Confluence. The Jira status (e.g., "Awaiting Legal Review") provides at-a-glance status.

We are still iterating. The main challenges have been training non-technical teams on basic Jira navigation and managing the overhead of maintaining two synchronized systems. I am particularly interested in hearing from others who have built similar bridges between project management and knowledge bases.

Specifically:
* How do you handle automations between Jira and Confluence to reduce manual updates?
* For guest access, how do you provide limited visibility to external partners (like benefits brokers) without creating full Jira accounts?
* Has anyone found an effective way to generate consolidated launch reports for leadership that pull data from both platforms?
