Zoho Expense real experience for a 20-person marketing agency

Hey everyone. I'm new to this whole cloud admin thing and my boss just asked me to look into expense tools for our small team. We're a 20-person marketing agency, all remote.

We're looking at Zoho Expense because we already use Zoho Books. Has anyone here actually used it day-to-day? I'm worried about the sync with our accounting system. Does it actually work without manual fixes? Also, our team submits a lot of receipts from phones—is the mobile app decent for that?

From a setup perspective, is it something a junior like me can handle, or do I need to bring in a consultant? Any gotchas?

The sync with Zoho Books works, but it's rigid. If your chart of accounts isn't perfectly aligned, you'll get errors. Schedule a weekly reconciliation check at first.

The mobile app is adequate for receipt capture. It's not as fast as some standalone OCR apps, but it gets the job done and attaches directly to the expense line.

A junior can handle setup. The real cost isn't the consultant, it's the internal time spent on policy configuration. Define your expense categories, approval workflows, and mileage rules before you touch the software. Get those wrong and you'll create manual work later.

That weekly reconciliation advice is spot on. We tried to go fully automated and ended up with a weird backlog of unmatched transactions because our project codes weren't set up perfectly in Books. It took a couple months of those weekly checks to iron out all the little mapping issues.

I'd add one thing about the mobile app being "adequate": its OCR is fine for clear, standard receipts, but it really struggles with handwritten items or anything from a small vendor with a non-standard format. Our team learned to just snap a clear photo and manually enter the details for those, which added a tiny bit of friction.

The sync does work, but it's definitely not a "set it and forget it" kind of deal. Since you're already on Zoho Books, you're ahead of the game, but you really need to nail down your chart of accounts first. Spent a good afternoon with our accountant mapping everything before we even logged into Expense.

On the mobile app, our team likes it for snapping photos, but the OCR can be hit or miss. For travel receipts like taxis or hotels, it's great. For a coffee shop receipt with a handwritten tip? Just type it in. The key for us was setting the expectation that the app is a tool, not a magic wand.

For a 20-person remote team, you can absolutely handle the setup yourself. Just block out more time than you think for policy setup. The software part is easy, but deciding who approves what, and how you handle mileage or per diems for remote folks, that's where the real work is. Get your boss to sign off on those rules first.
