I've been auditing our Salesforce contract for the upcoming renewal, and the line item for "Salesforce Platform" (the so-called Admin license) is the one that consistently raises my eyebrows. It feels like a pure margin play by Salesforce, especially when you drill into the actual permissions.
The core issue is its necessity for basic system administration. To perform fundamental tasks like modifying page layouts, managing profiles and permission sets, or even running certain reports, you need this license. It's essentially a tax on configuration. You can't have a functional instance without at least one, and often several, of these licenses.
From a FinOps perspective, this creates a problematic cost allocation model:
* The license cost is significant (often $300+/user/month on list, though discounts vary).
* Its use is not tied to a revenue-generating role, but an operational overhead one.
* It scales indirectly with your user count—more Sales/Service Cloud users means more configuration, support, and potential admin licenses.
I've seen teams try to work around this by over-provisioning "full" Sales Cloud licenses to power users for admin tasks, which is even more wasteful. Or they severely restrict admin access, creating bottlenecks.
Has anyone successfully negotiated this line item? Are there alternative licensing structures (like a pooled admin capacity) that Salesforce has offered, or is this simply a non-negotiable pillar of their pricing? I'm particularly interested in hearing from those who have moved some configuration to Heroku or external services to reduce dependency.
