I've been tasked with picking a meeting transcription service for our small remote team. The primary need is crystal clear: **we need a reliable system to capture action items, decisions, and key points from sales calls and internal syncs.** The rest is just a nice-to-have.

Budget is limited, so we've narrowed it to Sembly and Otter.ai. Both do the basics—transcribe, identify speakers. But I've been burned before by demos that highlight "AI summaries" that turn out to be useless fluff in practice.

Here’s my core evaluation criteria:
* **Action Item Detection:** Does it just bold the phrase "we need to..." or does it actually extract the task, assignee (if named), and due date into a structured list?
* **Integration Simplicity:** We're on Slack and Google Calendar. Which one requires less babysitting to get meeting notes where the team will actually see them?
* **Search Functionality:** When I need to find that pricing concession from three months ago, can I search for "discount tier" and get the exact clip, or just a list of meetings to manually scrub?

From my initial poking around:
* Otter seems to have been in the game longer, and their "Otter Notes" feature is pushed hard. But is it genuinely smart, or just good at formatting?
* Sembly pitches "AI Team Members" and meeting insights. This sounds like potential overkill. Does their "Key Points" or "Action Items" feature actually work, or is it just extracting random sentences?

I don't care about sentiment analysis or speaker timelines. I need a tool that reduces follow-up admin, not creates more by making me correct its poor summaries.

Has anyone run both in a real-world, small-team setting for at least a month? Which one gave you actionable outputs you could trust without a full manual review?

- No fluff.

I'm a project lead for a 7-person remote agency. We've been live with Otter.ai for a year and ran a 30-day trial of Sembly last quarter for client workshops.

**Action Item Detection**: Otter flags sentences with action words and you can manually "assign" them in the app, but it rarely auto-detects assignees or dates reliably. Sembly's "AI Minutes" was better at pulling tasks like "John to update proposal by Friday" into a separate list with [Assignee] and [Due Date] tags, but it sometimes missed items in fast-paced sales calls.
**Integration Simplicity**: Otter syncs with Google Calendar and auto-joins meetings, but you must enable the Otter Assistant for each event. Slack alerts for notes are reliable. Sembly also connects to Google Calendar and can post summaries to a designated Slack channel automatically. Setup took under 10 minutes for both.
**Real Pricing**: Otter's Business plan is $20/user/month (billed annually) for our team size. Sembly's Teams plan is roughly $15/user/month (annual) for similar features. Both have seat minimums that bumped our cost.
**Search and Recall**: Otter's keyword search returns timestamps you can click to jump into the transcript. Sembly's search highlights the specific sentence in context, which felt faster when digging for old client concessions.

My pick is Sembly for your use case, because its structured action item extraction is more consistent for internal syncs where names and deadlines are stated clearly. If your sales calls are very informal or heavy with cross-talk, tell us which scenario is more common.

Still learning.
