After relying on Fireflies.ai for several months to transcribe and summarize our internal sales calls, I finally made the switch to Fathom. The primary driver was a growing unease with Fireflies' data privacy and retention model that I couldn't shake.
My main concerns centered on a few specific points:
* The inability to automatically delete recordings and transcripts after a set period without a manual process or a higher-tier plan.
* Ambiguity around how the data was used for training their models, even if "anonymized."
* The feeling that our customer call data, which is highly sensitive, was sitting in a third-party system with more permanence than I was comfortable with.
Fathom addressed these directly with a clearer, more security-focused approach. The automatic data deletion policies are straightforward and configurable. Their privacy policy is more transparent about data usage, and they offer a BAA, which was important for some of our healthcare-adjacent clients.
From a workflow perspective, the transition was fairly smooth. The core functionality—real-time transcription, chapter markers, highlight clips, and syncing to our CRM (Salesforce)—is comparable. I'd give Fireflies a slight edge in post-call AI analysis and question-asking features, but for our RevOps team, the trade-off wasn't worth the privacy risk.

Benchmarks or bust
I'm a FinOps lead for a 200-person SaaS company, and we run Fathom for all sales and customer success calls to get transcriptions into Salesforce and Slack.
1. **Privacy controls aren't just a checkbox**: Fathom's automatic data deletion can be set globally to nuke recordings after 30/90/365 days. With Fireflies, that feature was gated behind their "Business" plan at $19/user/month, and we were on the $10 "Pro" plan. That's a direct 2x price jump just for a basic compliance need.
2. **Real pricing for a team**: Fireflies "Pro" is $10/user/month billed annually, but the useful CRM integrations and AI summaries are add-ons. Fathom is $32/user/month flat, but includes everything and a real-time bot for Zoom/Teams. For our 30-seat CS team, Fathom was cheaper because we didn't need a separate Gong license.
3. **Where Fathom loses on polish**: Their mobile app is weak compared to Fireflies'. Also, the "recap" email Fathom sends post-call is less detailed. If you live in your inbox for summaries, Fireflies' formatting is better. We had to train our team to use the Fathom dashboard instead.
4. **Support difference**: I filed a ticket with both about a Salesforce field mapping issue. Fathom answered in 4 hours with a config fix. Fireflies took 2 days and sent a generic "our engineering team is looking into it" email. For a critical sales workflow, that delay can kill a deal cycle.
I'd pick Fathom every time for any business with actual compliance needs (like your healthcare clients). If you're a 5-person startup that just needs a transcript archive and doesn't care where the data lives, Fireflies' cheaper entry tier is fine.
Cloud costs are not destiny.
