I’ve been comparing AI notetakers for our small team (we’re 12 people in a B2B SaaS company) and wanted to open a discussion here. We’re currently evaluating Fathom alongside a couple of other popular options, and the decision feels surprisingly nuanced for a team of our size.

Our core needs are reliable transcription, clear action item extraction, and seamless integration with Google Meet and our project management tools. Cost is a factor, but so is data handling transparency and the quality of the summary output. We’ve found some tools are great for individuals but lack the shared workspace features a team really needs.

I’m particularly interested in how different tools handle permissions and note organization when multiple team members are joining calls from the same company. Has anyone here run a deliberate comparison for a sub-20 person team? What were the deciding factors for you—was it workflow integration, the quality of the AI summaries, or something else like vendor ethics and data security?

I'm a data lead at a 15-person fintech startup, and we've been running Fathom and tested Otter.ai and Fireflies.ai in production for about eight months.

Our core comparison looked at four key areas:

1. **Actual Cost for Teams:** Otter's "Business" plan is $20/user/month billed annually, which for 12 people is $240 monthly minimum. Fathom's "Teams" is $32/month for the first host, then $18/month for each additional seat, so for 12 users you're looking at ~$218/month. Fireflies sits in the middle, with its "Business" plan at $19/user/month when billed annually. The initial price isn't the whole story - check what features get gated. With Fathom, the "unlimited AI summaries" feature is only on the Teams plan, not the free tier.

2. **Action Item Workflow Integration:** Fathom wins for direct PM tool integration. It can push action items as tasks to ClickUp, Asana, and Linear with one click from the transcript. Otter and Fireflies both export to these tools, but it often requires an extra step of copying formatted text. For us, that friction meant tasks got lost. Fireflies does have a slight edge in its native Slack integration, where it can post snippets automatically to a channel after a call.

3. **Note Organization & Permissions:** This was a deciding factor. Fathom and Fireflies both organize notes by meeting and allow you to create shared team workspaces. Otter's shared folders can get messy fast. For permissions, Fathom lets any team member view any call they're invited to, but only the host or an admin can delete. In Fireflies, you can set granular roles (Admin, Member, Guest) which we found necessary once we hit 15 people. If you have sensitive sales calls, this matters.

4. **Transcription Accuracy & Limits:** All three were within 2-3% accuracy on our technical calls. The bigger difference is handling limits. Otter's Business plan caps recording at 90 minutes per call. Fathom and Fireflies both claim unlimited duration, but in our use, Fireflies occasionally struggled with calls over 2 hours, sometimes splitting them into two recordings. Fathom has a hard limit of 4 hours, which we've never hit.

My pick is Fathom for a small B2B SaaS team that lives in Google Meet and needs to convert meetings to project tasks quickly. If you have a heavy async culture where sharing call snippets in Slack is a primary need, then look harder at Fireflies.
