Everyone talks about AI writing tools like they're magic. They're not. They're expensive, overhyped prompts that need serious wrangling. We just finished building a prompt library for our entire SaaS team, and it's cut the "I don't know what to write" meetings by about 90%.
The key was specificity. Generic "write a blog intro" prompts are useless. We built prompts that are essentially fill-in-the-blank templates with our exact voice and product names baked in. Example: "Write a support email for a customer on [Plan Name] who is confused about [Specific Feature]. Acknowledge the confusion, provide the three-step solution, and link to the relevant guide. Tone: patient, expert, slightly casual."
Stored it all in a shared doc with categories: Sales Outreach, Support Replies, Blog Frameworks, Social Posts. Adoption was easy because we just told the team: "Stop staring at a blank screen. Go to the doc, pick a prompt, paste it into Copy.ai, and fill in the brackets." Saves a fortune on "content strategist" hours.
