Our 10-person product and design team switched from a patchwork of Google Docs, Trello, and Confluence to an all-in Notion workspace almost exactly six months ago. We’re on the Team plan, and I wanted to give a super honest, detailed review of whether the per-seat cost has actually been worth it for us.
**The short answer?** It’s complicated. For certain workflows, it’s been a game-changer. For others, we’ve hit real friction points that make me wonder if we’re getting full value from that monthly invoice.
Let’s start with the wins—because there are some big ones!
* **Single Source of Truth:** Having our product roadmap, design system, user research repository, and meeting notes all in one interconnected place has drastically reduced the “where is that?” overhead. The ability to link databases (like linking a feature in the roadmap to its user research interview notes) feels almost magical.
* **Dynamic Roadmaps:** Building our roadmap in Notion using linked databases and board views has been a revelation. We can filter by team, priority, or quarter instantly, and it updates everywhere. It’s far more flexible than our old static slides.
* **Reduced Tool Sprawl:** Cutting out 2-3 other subscription tools did offset some of Notion’s cost. The consolidation itself has a huge productivity benefit.
However, the **pain points** are significant, especially at our size:
* **Performance with Many Users:** When several of us are in a large, database-heavy page (like our main project tracker), it can get *laggy*. Edits don’t always sync in real-time, which has led to a few conflicts.
* **Permission Headaches:** The granularity is both a blessing and a curse. Setting up permissions so that the design team has edit access to their library but the engineering team has only comment access is doable, but managing it for 10 people across dozens of pages is an ongoing chore. We’ve had a few “I can’t see this!” incidents.
* **The Learning Curve Tax:** Onboarding two new team members took real, dedicated time. While Notion feels intuitive to us now, for newcomers, understanding databases, relations, and rollups is not trivial. This is a hidden cost.
* **Feature Gaps vs. Individual Use:** The Team plan doesn’t feel *that* different from Plus for core features. We really miss advanced admin controls and more robust audit logs. For a paid team workspace, I’d expect much more oversight.
So, is it worth the price? For **collaboration and interconnected knowledge**, absolutely. The value of linked information is massive. For **high-performance, real-time editing** on large documents with many concurrent users, it sometimes falls short.
