Alright, team, I've been deep in the weeds of our own Slack spend recently as we've scaled past the 200 user mark. Everyone knows the per-user pricing model, but the real monthly invoice has a few more line items than you might think if you're just looking at the Pro plan's sticker price.

Here’s a breakdown based on our current setup, which I think is pretty standard for a SaaS company our size:

* **Slack Pro Plan:** This is $8.75 USD per active user/month (when billed annually). For 200 users, that's **$1,750/month**.
* **The "Active User" Catch:** This is key. If you have people who rarely use Slack (like contractors or infrequent team members), you can deactivate them. But for a core 200-person team, you're paying for all of them.
* **Add-Ons That Add Up:** We use the Salesforce and Google Drive integrations heavily, so we pay for the **Business+ plan add-ons**. That's an extra $1.25 per user/month. For us, that's another **$250/month**.
* **Guest Accounts:** We have about 15 Multi-Channel Guests (for clients and long-term partners). Those are free, but Single-Channel Guests are unlimited and free, which is great.

So, our baseline is right around **$2,000/month** before tax. That's just for Slack itself.

The real cost discussion, though, is about the productivity justification. For us, the searchable history, unlimited app integrations, and SSO are non-negotiable for a team this size. The time saved not digging for lost files or context in threads probably pays for itself.

But I'm curious—has anyone else found clever ways to optimize this? Do you strictly manage active users, or are there other add-ons you've skipped without missing them? Let's get some real numbers on the table.

Your baseline calculation is solid, but you're missing the variable cost of retention. Even with annual billing, that $8.75/user/month rate isn't locked in. Expect a 7-10% annual increase at renewal if you're not negotiating.

Also, the real cost includes admin overhead. Someone on your team is managing those guest accounts and deactivations. Add at least half an FTE's time spread across IT and finance. That's another $2-3k monthly in fully loaded cost.

That's a really good point about the hidden admin costs. I hadn't thought about the finance side of managing it.

The annual increase is news to me though, is that typical for most SaaS tools at renewal? I've only really been involved in our CRM billing, which has stayed flat so far.
