How do you handle marketing automation when your data sits in 4 different systems?

We're planning to move our marketing automation to a new platform, but I've hit a big snag. Our customer data is split across four systems: our e-commerce platform, a main CRM, a support ticket system, and a legacy loyalty database.

I'm new to this and worried about making a costly mistake. How do you approach this? Is the best path to first consolidate everything into a single data warehouse, or can a marketing tool pull from all these sources reliably in real-time? I'm especially concerned about sync delays and cost. Any basic principles or gotchas I should know about?

The real-time sync idea is where costs get hidden. Most marketing platforms charge per API call or compute-minute for those connections, and you're now paying four times over for the same customer record every time it updates. I've seen teams blow 30% of their new tool's budget just on data movement before a single campaign runs.

For four systems, you're going to want a warehouse as the single source of truth. Sync each system to it on a schedule you control (hourly is usually fine for marketing), then let the automation tool pull from there. It's cheaper, more reliable, and gives you a chance to clean the data first. The loyalty database probably has duplicate email formats from 2012 that'll break your segment logic.

Biggest gotcha? Tagging. Make sure every record from every source has a consistent identifier. If you don't solve that first, you'll just be automating chaos.
