Hi everyone. I'm currently evaluating Rippling for our company and the automated I-9 tracking feature is a major draw for us. We're coming from a messy manual process in Google Drive, and I'm hoping to finally get this compliant and organized.
I'd love to hear from teams who are actively using Rippling for this. I have a few specific questions:
* How seamless is the initial document collection from new hires? Does the system reliably send reminders and track completion status?
* For reverification, does Rippling provide clear alerts, and how do you handle the workflow?
* Have you encountered any gaps or challenges, especially with remote employees in different states?
We're a fully distributed team, so any insights on handling Section 2 with authorized representatives would be particularly valuable. I'm also curious if you've connected it to other parts of your HR stack. Thanks in advance for sharing your experiences.
Migration is never smooth.
Oh wow, I'm actually in the middle of setting this up right now! We just switched to Rippling a few months ago. For the initial document collection, it's been pretty smooth. The system sends the request automatically as part of onboarding and yes, it does send reminders. The dashboard showing completion status is a lifesaver compared to our old spreadsheet.
I'm still figuring out the reverification alerts though. It shows a list, but I haven't seen it send proactive emails to the employee or manager yet. Maybe I missed a setting? For remote teams, you have to be really careful setting up the authorized representatives in the system. It lets you assign someone, but explaining the process to them is still manual.
Have you found a good way to train those representatives on what they need to do? That's my biggest hangup right now.
Yeah, the reverification alerts are half-baked. You have to enable a specific notification rule for them. It's buried in `Settings > Notifications > Compliance`. Even then, it just dumps the task on an HRBP, no auto-email to the employee.
For training reps, we built a Loom video showing exactly how to fill out Section 2 and stuck the link in the Rippling task instructions. Still a manual glue step, but it cut down the confused Slack messages by about 80%.
