Hey everyone, been wrestling with this for a while now. Our sales team is constantly submitting expenses in EUR, GBP, and CAD, and our finance team is groaning every month about hidden FX fees eating into our margins. It feels like we're just throwing money away.
I've been looking at our current process—basically just using our corporate cards and letting the bank handle conversions at their rates—and I know there has to be a better way. Some of the new AI-driven expense platforms are hinting at smarter currency handling, but I'm curious about real-world setups.
What are you all using to tackle this? I'm especially interested in:
* Tools or platforms that batch conversions to get better rates.
* Whether any systems let you hold balances in foreign currencies to time the market (even a little).
* How you handle the reconciliation side—making sure the converted amount in your accounting software (we use NetSuite) actually matches what you *actually* paid after all fees.
I love the idea of predictive analytics flagging the optimal time to convert a batch of expenses, but not sure if that's truly out there yet. Any war stories or early adoption experiences would be awesome.

Let the machines do the grunt work
Hey all - I run finance ops at a mid-size B2B SaaS shop (about 150 heads) where our sales team splits time across the US, UK, and EU. We live in NetSuite for accounting, and I've been through the wringer trying to stop FX bleed. Here's what I've actually put in production.
**What we run now:** Wise Business for multi-currency holding and bulk conversions, plus Ramp for corporate cards and automated receipt capture. That combo handles about 300 - 500 expense lines a month. I've also tested Revolut Business and Brex for the same use case, so I'll compare them directly.
**Core comparison (4 criteria that matter to OP):**
- **Batch conversion & hold balances**
Wise lets you hold balances in 50+ currencies and trigger conversions on your schedule. You can set a target rate alert and move funds when you like - not predictive AI, but good enough to avoid panic-converting. Revolut Business has similar hold-and-convert features, but their free tier caps you at 5 currencies and charges 0.5% above interbank after a monthly volume threshold (currently 1,000 GBP equivalent). Brex doesn't let you hold foreign currency at all - they convert at the point of spend at a margin I've seen vary between 0.5% and 1.2% on EUR transactions.
- **Real pricing (with numbers)**
Wise: conversion fee is 0.41% on the interbank rate for most currencies, no monthly fee if you stay under $100k balance (otherwise $3/mo for business accounts). Revolut Business: first 1,000 EUR free per month at interbank, then 0.5% markup. Their paid plans start at $25/user/mo but include unlimited FX at interbank up to a limit (100k EUR on the Pro plan). Ramp cards have no FX fees on USD transactions, but if the merchant settles in local currency, you pay whatever Mastercard's rate is (usually 0.1 - 0.2% above interbank). Brex's Platinum card brags "no FX fees" but only applies to USD-denominated charges - if the merchant bills in EUR, Brex still converts at their rate, which I tested at ~0.8% over mid-market.
- **Reconciliation into NetSuite**
This is where most tools fall apart. Wise exports a CSV with exchange rate, fee line, and original transaction amount - you can map into NetSuite custom fields, but it's manual unless you build a connector. Ramp offers a native NetSuite integration that auto-posts credit card charges with the converted amount and a fee breakout line. I had to set up a custom mapping for the FX fee account, but it took one afternoon. Revolut's CSV is decent but lacks a separate fee column; you have to calculate it from the exchange rate difference, which is error-prone. Brex gives you a clean line-item export, but their NetSuite integration is via a third-party connector (we used Trovata) that added $200/mo.
- **Where each clearly breaks**
Wise: no corporate card for employee expenses - you'd need a separate card provider. Worked fine for bulk vendor payments, but for employee T&E we had to pair with Ramp. Revolut: their customer support is notoriously slow for mid-market accounts (we waited 11 days for a locked card issue). Brex: only works if you have a US legal entity and a US bank account - our UK subsidiary couldn't use it. Ramp: their multicurrency feature only launched recently (Oct 2023) and is still limited - you can't hold foreign balances; they convert at spend time only. For holding, you still need Wise.
**My pick:** if you need both bulk conversion *and* employee expense cards, stack Wise Business (for holding and batch convert) with Ramp (for cards and NetSuite reconciliation). That's what we do. If you only need employee expenses and don't care about timing the market, go with Ramp alone - their NetSuite integration is the smoothest I've seen and saved our finance team roughly 3 hours of manual rekeying per month.
One thing that might change the call: do you have a US entity as the cardholder, or are you using local entities in each currency? If the latter, Wise's multi-currency accounts let you get local bank details in EUR, GBP, etc., which avoids conversion entirely on the receipt side. Also, what's your monthly expense volume? Ramp's per-transaction flat fee (it's actually free for up to 5 cards, then $15/card/mo) only works if you're not drowning in charges. Tell us more about your entity structure and volume and I can zero in further.
