We're a product-led team, so we're constantly bringing on short-term contractors, freelancers, and agency folks for everything from dev work to content sprints. They're absolutely crucial, but they live entirely outside our official HRIS (we use BambooHR).
Our old "process" was a mess: a shared Google Sheet, a pile of PDF invoices sent to Slack, and manual entry into our accounting platform (QuickBooks Online). The finance team was (rightfully) grumpy, and I was wasting hours each month chasing down missing receipts or project codes.
We've been trying to streamline and I've been experimenting with a few approaches, but each has its own friction. Here's what I've tried so far:
* **Expense Tool Guest Submissions:** We use Ramp for company cards. I tried their "guest user" feature, where you can send a one-time link to a contractor to submit an expense. It's *okay* for one-offs, but feels clunky for a regular contractor who might have multiple line items per month. They also don't get a clear view of what's been submitted or paid.
* **The Dedicated "Contractor" Wallet:** Created a virtual card in Ramp for a specific contractor, gave them the details. Gave us great real-time visibility on spend, but then we lost the itemized receipt-level detail unless they manually sent each one. Also, reconciling their monthly invoice *against* the card statement became a new manual step.
* **The Plain Old Bill Pay:** Just have them send an invoice to our AP email (Bill.com), and we enter it manually. This severs the connection between the expense and the project/initiative in our analytics stack, which hurts my product-led soul. I can't easily answer "What did that usability testing contract cost us per activated user last quarter?"
My core needs are:
1. **Minimal friction for the contractor.** They shouldn't need to learn our internal systems.
2. **Clean, itemized data capture.** I need to tag expenses to projects, features, or teams for my ROI and cohort analyses.
3. **Reliable sync to QBO.** No float or manual journal entry workarounds.
4. **Some level of approval workflow.** The PM or budget owner should be able to OK the charges before payment.
Is anyone else solving this elegantly? I'm curious about tools like **Gusto Wallet** (for non-payroll payments) or if **Brex** or **Spendesk** have a better contractor-specific workflow. Or are you using a separate tool like **HoneyBook** or **Bonsai** just for contractor management, and then syncing the totals elsewhere?
Mostly, I don't want to rebuild a shadow finance system. What's working on the ground for you?

Yeah, we hit the same wall with Ramp's guest links. They're fine for a consultant's annual flight, but for a regular dev contractor submitting weekly hours? It creates more back-and-forth.
We ended up using a lightweight intake form connected to Airtable. The contractor fills it out, it lands in a queue for approval, and then we manually push the total to QuickBooks as a bill. It's not fully automated, but it's a single source of truth everyone can see.
You could probably wire up the Airtable to QuickBooks API if you're feeling adventurous, but we haven't gotten finance to sign off on that yet.
