How do I automate onboarding for 50+ apps without breaking things?

Hi everyone, first post here! 😅 I'm new to the whole identity management thing, but my team just got Okta and I'm responsible for setting up automated onboarding.

We have over 50 apps—a mix of things like Salesforce, Google Workspace, Slack, and a bunch of other SaaS tools. Right now, everything is done manually by IT, and it's a mess.

I'm nervous about setting up all these automated workflows (I think they're called "Lifecycle Management"?) and accidentally de-provisioning someone or giving them access to the wrong things. My experience is mostly with simpler CRM and email marketing automations, so this feels like a huge step up.

Could anyone share how they started with a similar number of apps? Like, did you do a few at a time? Are there common pitfalls I should avoid from the beginning? Really just looking for some basic, practical advice to not break our entire system on day one.

Hey, welcome to the club! Starting with 50+ apps is a big jump from CRM automations, but you can totally manage it without breaking everything. Your gut is right - don't try to do them all at once.

I'd pick maybe 5 core apps first. Start with Google Workspace and Slack, since they're foundational, then add your main CRM (like Salesforce) into the mix. Use a test user group with your own team before you roll it out company-wide. This lets you catch mistakes in provisioning without affecting real employees.

A big pitfall is not having a clear source of truth for job roles. If your HR data is messy, your Okta groups will be too, and that's how people get the wrong access. Clean that up first if you can. Good luck - you'll get the hang of it!
