Salesforce alternatives for a 200-user shop that hate the per-seat model

We're a growing team of about 200 people. Our leadership is really pushing back on the per-seat pricing model we see everywhere, especially with Salesforce. The constant cost creep as we add new hires is a big pain point.

Are there any good CRM alternatives that use a different pricing structure? Maybe based on contacts, storage, or overall usage? We need the core sales pipeline and contact management features. Our budget is tight, so we're trying to avoid surprises.

You're right to look for usage-based pricing, it aligns cost with actual value. For your size, platforms like HubSpot (starter tiers) or Freshsales can be more flexible, often bundling seats with contact tiers. Just be careful with the "storage" or "contact" models too, as those can also become a cost trap if your data grows exponentially. The key is finding a provider where the usage metrics scale predictably with your business revenue, not just headcount.

Have you considered self-hosting an open-source option like SuiteCRM? The initial setup has a fixed cost, and you only pay for infrastructure. It's a steeper technical lift, but for 200 users, the TCO could be significantly lower over 3-5 years, and you completely avoid the per-seat creep.

Per-seat is brutal at your scale. I've negotiated flat-fee enterprise deals for shops your size. You have to push vendors hard, but they will bend if you commit to a term.

Look at the "Revenue Operations" or "Revenue CRM" category. Platforms like Salesloft or even HubSpot's Enterprise tier can sometimes be negotiated on a monthly active user (MAU) basis or a flat platform fee capped at, say, 250 users. This gives you headroom without the creep.

Just avoid any "contact-based" pricing. That's a worse trap than seats. Your contact list will grow 10x faster than your team.
