ActiveCampaign for sales - the 'Power User' fee for extra automation is brutal.

Our team recently migrated our sales and marketing automation from a combination of HubSpot and custom scripts to ActiveCampaign, primarily attracted by the native marketing automation builder and the integrated sales CRM. The initial pricing tiers—Lite, Plus, Professional—seemed transparent enough, and we provisioned for 10,000 contacts on the Professional plan to access the machine learning send time optimization and lead scoring.

The initial implementation was successful, but we quickly hit a constraint that wasn't adequately highlighted during the sales process: the **"Power User" fee**. The Professional plan includes "unlimited" automation maps, but there is a soft cap on what they consider "normal" usage. Once you exceed a certain number of active contacts flowing through automations concurrently, you are flagged as a "Power User."

The notification from our account manager was stark. Our options were:
* Reduce the complexity of our automation sequences (not feasible).
* Upgrade to the Enterprise plan (a significant jump with mandatory annual billing).
* Pay the **Power User fee** as an add-on to our Professional plan.

The fee structure is not published. Our quote was an additional **$499 per month** on top of our existing ~$1,500/month Professional plan. This is purely for the privilege of using the automation features as we had architectured them, with no additional contacts, features, or support enhancements.

What is particularly galling from an infrastructure perspective is the opacity of the threshold. There is no clear formula like "X active contacts per Y automations." It's a manual review by their team. Our architecture, for reference, involves:

Each of these runs on cohorts of 2,000-3,000 contacts. The system performs well, but the resource consumption, from their perspective, is apparently exceptional.

This feels analogous to a cloud provider offering "unlimited compute" on an instance type and then charging a massive premium because your CPU utilization averages 70% instead of 40%. The cost of the automation execution should be baked into the contact-tier pricing, not siloed as a surprise line item.

Has anyone else encountered this? More importantly, has anyone successfully negotiated this fee down or obtained concrete technical criteria from ActiveCampaign that defines the Power User threshold? We are now in renewal negotiations and this is the primary point of contention. Detailed benchmarks of what constitutes "normal" vs. "power" usage would be invaluable for our counter-proposal.

That's a significant hidden cost, and you've hit on a key trust issue. The problem isn't necessarily the fee itself - platforms need to manage resource loads. It's the lack of upfront transparency and clear thresholds that feels like a bait-and-switch.

When a core selling point like "unlimited automation" has an unpublished, after-the-fact limitation, it undermines the entire evaluation process. Have you pressed your account manager for the specific metric that triggered the flag? Is it purely contact volume in automations, or the complexity of the maps themselves? Getting that exact criteria could help others.
