Never copy all your production data. GDPR, CCPA, and your own sanity will thank you later. You need a representative sample, but more importantly, you need *realistic* test data that covers edge cases, not just a random slice. Anonymize it aggressively, and make sure you catch any personally identifiable information the CRM might hide in obscure custom object fields.
For integrations, the key is configuration overrides at the environment level. Your staging instance should have its own set of API keys for every external service, pointed at that service's sandbox or test mode. Most decent SaaS tools provide a test mode or a separate dev environment; if your email tool doesn't, find one that does. You'll want to use feature flags or environment variables to swap endpoint URLs and credentials between your staging and production builds.
Given your comfort with Terraform, treat the entire staging environment as ephemeral. Build it, run your test suite, and tear it down. It prevents "staging drift" and makes your tests reproducible. Just make sure your data anonymization and seeding script is part of that pipeline.
