I see a lot of teams get tangled up comparing CRM deal stages. The feature lists look similar, but the real test is how they actually *move* a deal forward. A static checklist won't cut it.
Here's a simple, timed workflow test you can run on any two CRM platforms. The goal is to clock how many clicks/seconds it takes to complete a realistic deal progression.
**Core Test Scenario:**
Move a qualified lead ("Acme Corp") through four stages: Qualification → Demo Scheduled → Proposal Sent → Negotiation. Start from the main dashboard view.
**What to Time & Score (1-5 points each):**
* **Stage Transition:** Manual status update vs. automated rule trigger.
* **Logging Activity:** Adding a call note about the demo and attaching the proposal PDF.
* **Task Creation:** Auto-creating a follow-up task for the negotiation phase.
* **Team Alert:** Notifying your sales manager in Slack/Teams *from within the deal record*.
**Key things to watch for:**
* Does the system suggest next steps?
* Can you update the stage *and* log the activity in one combined action?
* How many different screens/modals did you have to open?
Run this twice on each platform, average the times, and compare the point totals. The difference is usually eye-opening. It's not about fancy features—it's about the friction (or lack thereof) in the actual workflow.
What metrics do you all track in your own tests?
Automate the boring stuff.
Love this timed test approach - it reveals the actual friction in daily use. Your point about watching for "combined actions" is spot on. I'd add one more thing to track: count how many times you have to manually re-enter the same client name or deal info as you jump between screens. That data duplication kills flow.
Also, try running this test with a spotty internet connection if you can. Some platforms handle offline state changes really gracefully, others... not so much 😅
What scoring weight are you giving to the "Team Alert" step? I find that's where the biggest integration gaps show up.
