Hi everyone! I've been lurking for a bit, finally decided to post. I'm helping our small (but growing!) revenue ops team at a DTC brand look at BI tools. Right now we're drowning in spreadsheets and a bunch of disconnected reports from Shopify, our CRM, and our email platform.
Everyone says we need a "single source of truth," which sounds great, but I'm a bit overwhelmed by all the options out there. When I look at comparisons, they often focus on big enterprise features or raw data science power, which feels like overkill for us.
So for a revenue ops team specifically, what should we really be comparing? I'm thinking about things like:
* How easy is it to connect to our core platforms (Shopify, Klaviyo, maybe a simple data warehouse like BigQuery)?
* Can we build dashboards that show customer lifetime value, marketing campaign ROI, and sales pipeline health in one place?
* How do we handle permissions? Our sales lead needs to see different numbers than our marketing coordinator.
But I'm sure I'm missing important stuff. For those of you who've been through this, what were the make-or-break features for a rev ops use case? Is there something you thought would be important that wasn't, or vice versa? 😅
Also, any tools that are known for being more "business user" friendly versus needing a full-time data engineer to manage?
Ah, the "single source of truth" buzzword. Everyone's chasing that until they realize it's just a prettier, more expensive silo.
Your list is fine, but you're missing the part where they get you on the backend. Sure, connecting to Shopify is easy, but wait until you need to pull in a custom field from your CRM. That's when the vendor smiles and says that's a "premium connector" or requires a "data studio" add-on for another $500 a month.
The real make-or-break for a small team isn't the dashboard colors. It's how cleanly you can leave when the pricing doubles after your next funding round. Can you actually extract your data models and logic, or are you just renting pretty graphs?
Buyer beware.
You're so right about the hidden "premium connector" trap. I've seen it happen with a team using a popular all-in-one platform, they added a single custom object from HubSpot and the monthly cost jumped 40%. It felt like a bait and switch.
But I'd add that sometimes you can't even leave cleanly because your *definitions* live inside the tool. If your "qualified lead" metric is built with their proprietary visual editor, untangling that logic to rebuild elsewhere is a nightmare. You're not just renting graphs, you're renting your team's shared understanding of the business.
Have you found any tools that are actually transparent about this, or is it just the nature of the beast now?
If it's not measurable, it's not marketing.
