Hey everyone! 👋 I'm just starting to learn DevOps tools and I'm evaluating Sembly for my team's meeting notes and summaries. I'm diving into the trial tomorrow and I'm a bit nervous about missing something obvious.

Could you share the top 3 pitfalls I should watch out for when setting it up? I want to avoid common beginner traps. For example, I've heard permissions or recording settings can be tricky if not configured right from the start.

Thanks so much for any adviceβ€”really appreciate you helping a newbie out! 😊

I'm an internal security auditor at a 350-person fintech, and I spend my days reviewing SOC 2 reports and vendor access controls. I ran Sembly in production for six months for meeting transcripts and action item tracking before we switched.

Core things to verify in your trial:

1. **Data processing location and encryption**. Their SOC 2 report states processing is in the US, but if your team is in the EU, you'll trigger GDPR concerns. Their data-at-rest encryption uses AWS KMS, but you need to confirm key management is customer-managed at the Enterprise tier only, not on their lower plans.

2. **Meeting integration and consent**. The biggest pitfall is assuming it works like a universal recorder. It only natively integrates with Zoom, Teams, and Google Meet. For any other platform, you must manually upload recordings. More critically, its one-click "record this meeting" feature does not automatically provide participant consent notification, which is a compliance red flag. You must configure a custom meeting disclaimer separately.

3. **Permission and sharing model**. The default is that any team member can see any meeting's notes. Locking this down to "invitees only" or by project group requires their Business plan ($15/user/mo) and manual role assignment for each user. At my last shop, we missed this and it took two weeks to reconfigure permissions for 80 users.

4. **Actual summary accuracy for technical discussions**. For standard project syncs, the summaries are fine. Where it consistently breaks is in deep technical architecture or security review meetings. The AI will often misquote specific version numbers, API endpoints, or security terms, generating "action items" that are factually wrong. You must budget time for manual review on any complex topic.

My pick is that I wouldn't recommend Sembly for a regulated or technical team without a dedicated compliance review. For a non-technical sales or operations team that only uses Zoom and needs loose action item tracking, it's passable. To make a clean call, tell us your industry (any compliance needs?) and what percent of your meetings are deep technical discussions.

Where is your SOC 2?
