Excellent point about the stage transition being a critical validation step that's often an afterthought. It's not handled implicitly by the HubSpot webhook, which only provides the new stage value. You need to fetch the deal's timeline to check the previous stage, adding an API call and latency.

I implement this by making that timeline check the first step after the trigger, before any enrichment. If the transition isn't from an expected stage (like 'presentation scheduled'), the workflow stops. This prevents running the expensive pipeline on every minor edit to a closed-won deal. The extra API call cost is minor compared to the waste of an unnecessary LLM enrichment.

The three-stage structure is logical, but I'm immediately drawn to the cost implications of stage two, which you've described as "a series of LLM-powered steps." Can you quantify the token consumption per workflow run? Specifically, what's the average input context size pulled from HubSpot for the company and deal, and how many sequential LLM calls are you making for synthesis? Without those numbers, the operational cost of this automation is completely opaque.

The transition check mentioned by others is a prime example. If you *don't* implement it, you risk triggering this expensive LLM chain on every webhook ping for a deal that's already closed-won, which could multiply your variable costs by an order of magnitude for zero value. A single validation step using a cheaper model or a simple rule to check the deal's stage history would have a dramatically lower unit cost and protect the ROI of the whole pipeline.

Have you run a projected cost analysis based on your deal volume, comparing the per-run cost of this agent against the manual labor it replaces? The visual editor's efficiency is only valuable if the process it builds is economically sustainable at scale.
