Switching from a manual spreadsheet system to Iris.ai - was it worth the cost?

Just pulled the trigger on Iris.ai last quarter to replace our clunky, manual spreadsheet system for tracking user onboarding flows. The short answer: yes, the cost was justified, but with a few caveats.

Our old system was a beast:
* A Google Sheet with 20+ tabs for different funnel stages.
* Manual CSV uploads from our product DB twice a day.
* Constant errors from broken lookups and stale data.
* Zero real-time visibility.

Iris.ai consolidated everything into a single live dashboard. The immediate win was seeing drop-off points in our signup flow **instantly**, which led us to tweak a confusing step. A/B test results are now auto-tracked, which alone saves us ~5 hours a week.

The trade-off?
* The learning curve for setting up custom event definitions was steeper than expected.
* Cost is significant compared to "free" spreadsheets, but you're paying for sanity.
* Some niche cohort analyses still require a quick export to a spreadsheet for deep dives.

For teams drowning in manual data wrangling, it's a game-changer for efficiency and accuracy. For smaller setups, the price tag might be hard to swallow.

1. I'm a security lead at a 300-person fintech. We run our own vulnerability scanning pipeline and track signup/authentication flows closely, so I've evaluated a bunch of these analytics tools in production.

2. Here's where Iris.ai actually stacks up:
- Target audience: It's built for mid-market product teams, not startups. If you're under 50 employees, the features you're paying for will feel bloated. The contract minimum at my last shop was $12k/year.
- Integration effort: Expect 3-4 weeks to get custom events right. Their documentation calls mapping events "intuitive," but we spent two full sprints with a data engineer to reconcile our legacy naming conventions.
- Where it wins: Real-time session replay for security review is solid. We caught a credential leak in a third-party script because we could watch the exact user flow. That's something spreadsheets can't do.
- Honest limitation: Their RBAC is superficial. You can't scope a user to only see, say, authentication events without also exposing billing data. We had to build a proxy layer for GDPR compliance, which added cost.

3. I'd recommend it only if you have a dedicated product ops person and need to audit user flows for security or compliance. If you're just doing conversion optimization, tell us your team size and whether you need to segment by SSO groups - there are cheaper ways.
