My results after a quarter: Granola added 2 hours/week of admin work per user.

Alright, I need to vent and get some reality checks here. We implemented Granola across our design and product teams last quarter, hoping to streamline our project tracking and resource planning. The promise was less time spent in status meetings and more clarity.

But after three months of consistent use, the data is painfully clear: it’s *adding* about two hours of weekly administrative work for each designer and PM. That’s time we’re not designing, researching, or iterating.

The biggest time-sinks are the manual updates. Granola wants a level of granularity in task breakdowns and time allocations that just doesn't match our reality in a fast-paced SaaS environment. Every time a quick pivot happens (which is weekly), we have to go back and re-scope, re-estimate, and re-log dependencies across multiple projects. It feels like we're building a perfect map of a city that’s constantly being rebuilt.

We also hit a wall with the UX research cycles. Logging unmoderated testing sessions, participant recruitment, and synthesis work into Granola's structure is so cumbersome that my researchers are keeping parallel logs in a simple spreadsheet and then duplicating entries. Defeats the whole purpose!

I love the *idea* of granular data for forecasting, but the overhead to keep it accurate is unsustainable. Has anyone else hit this wall? Did you find a way to configure it to be less burdensome, or did you have to scale back its use? I’m starting to think it’s better for agencies with fixed scopes than for in-house product teams.

Oof, that sounds so familiar. The manual update tax is real, and it kills momentum. We hit the same wall with another tool.

Your point about granularity is key - I've found teams need to push back on the tool's default settings. Can your admins simplify the required fields? We got our time tracking down to just "Project" and "Broad Phase" (like "Discovery" or "Execution") and banned sub-task logging. Saved us hours.

Also, the parallel spreadsheet for research is a huge red flag. That's the tool failing to adapt to your workflow. If Granola's API is decent, a small script to sync from a CSV might be cheaper than the duplicate labor. Might be worth a hack afternoon to try.
