We’re about 200 people, mostly remote teams, and we’ve been testing Fellow’s free plan for meeting agendas and notes. It’s been pretty solid for small team syncs.

But now we’re looking at the Pro plan for features like private templates, integrations (Jira, Salesforce), and more meeting types. The jump in cost per user adds up fast at our size.

For those using it at scale: does the Pro tier feel worth it? I’m curious about real-world impact on cross-team workflows and if the admin controls actually save managers time. Any gotchas we should know about?

I'm a tech procurement lead at a 180-person SaaS company, and we've been running Fellow Pro in production for about 18 months across all teams.

1. **Real Pricing:** The advertised "per user" cost is a trap. They quote you something like $7-9/user/month. At 200 users, that's a clean number. But they define "user" as any invitee. Got a weekly all-hands with 200 attendees? That's 200 licensed users, even if they just view notes. Our true cost ballooned nearly 40% over the quoted "headcount" price because of this.
2. **Integration Effort:** The integrations like Jira and Salesforce are just API widgets. They're read-only or create-only basic tickets. You can't do complex two-way sync or custom field mapping without jumping to their Business plan, which starts custom pricing at twice the cost. For us, the "Pro" integrations were basically glorified bookmark links.
3. **Admin Control Illusion:** The admin controls save maybe an hour a month. Bulk user management is clunky, and private templates can't be cloned from existing public ones. You rebuild them. The time savings for managers was oversold; our team leads reported maybe 15 minutes saved per week.
4. **Breaking Point:** It chokes on cross-functional meetings with more than ~5 external guests. Guest permissions are all-or-nothing, and the mobile app performance for guests is terrible. We had to resort to Google Docs for any client-facing session, which defeated the purpose.

I'd recommend you stick with the free plan and layer a simple Google Docs template system on top, unless your leadership demands a single pane of glass. For Fellow Pro to be worth it, you need two things: a strict policy that only meeting *owners* count as users, and a use case that heavily uses the native integrations as they are, not as you wish they were.

Trust but verify.
