I am currently evaluating AI-powered meeting assistants specifically for our internal engineering standup meetings. Our primary requirements are accurate transcription, concise summarization with a focus on action items and blockers, and seamless integration with our existing Slack and Notion workflows. Cost predictability is also a significant factor, as we would be rolling this out across multiple teams.

Two primary contenders have emerged: **Fathom** and the **Zoom AI Companion**. While both offer core transcription and summarization features, a detailed breakdown of their pricing models and feature alignment reveals critical differences for a FinOps-focused deployment.

**Key Considerations & Comparative Analysis:**

* **Pricing Structure & Predictability:**
* **Fathom:** Operates on a straightforward per-user, per-month subscription model. This is highly predictable for budgeting. At approximately $19/user/month (billed annually), the cost scales linearly with licensed users.
* **Zoom AI Companion:** Pricing is bundled with certain Zoom enterprise plans, but there is a separate monthly fee per licensed user for the AI Companion add-on. The exact cost is less transparent without a direct enterprise quote, but industry estimates place it in a similar range. However, it introduces a dependency on maintaining a specific Zoom meeting plan tier.

* **Feature Alignment for Internal Standups:**
* **Transcription Accuracy:** Both demonstrate high accuracy for technical English. Fathom supports a wider array of languages, which is less critical for our specific use case.
* **Summary Customization:** Fathom provides a "Custom Highlights" feature, allowing us to potentially train the summary on terms like "blocker," "ETA," or "PR link." Zoom AI offers standard meeting summaries without this level of customization in its current form.
* **Integration & Workflow:** Fathom offers direct, one-way sync to Notion and Slack. Zoom AI Companion's output is primarily confined to the Zoom platform, with summaries posted in the Zoom Team Chat associated with the meeting. This requires an extra step to port into our permanent Notion knowledge base.

* **Cost Allocation & Vendor Lock-in:**
* Adopting Zoom AI Companion inherently increases our commitment to the Zoom ecosystem. This creates a form of vendor lock-in and complicates cost allocation if we ever wanted to switch meeting platforms.
* Fathom, being a platform-agnostic tool that works across Zoom, Google Meet, and Teams, offers more flexibility. From a FinOps perspective, this allows for more competitive bidding between communication platform vendors in the future.

**Initial Cost Projection for a 25-person engineering org:**

2. Has anyone successfully implemented Fathom's "Custom Highlights" for standup formatting, and what was the learning curve for the AI?
3. Are there any hidden cost factors with Zoom AI Companion, such as minimum license counts or price escalations upon renewal, that aren't apparent from the public pricing sheets?
