Help: Can't get consistent brand terminology across documents.

Hey everyone, new here! I've been lurking for a bit and finally decided to jump in. I'm a data engineer by trade (mostly SQL and Python, building pipelines), but I've recently been tasked with helping out our small marketing team with some content generation. We're a startup, so we're all wearing a few hats, right? 😅

We've been using Copy.ai for a few weeks now, and for generating individual piecesβ€”like a single email or a social postβ€”it's been pretty impressive. The speed is fantastic. But I'm running into a problem that, coming from a data modeling background, is really bugging me: I can't seem to get consistent brand terminology across multiple documents.

For example, our product is technically a "unified analytics dashboard," but we also sometimes call it the "central insights hub" in more customer-friendly language. I've tried putting both terms in the brand voice section, but the output seems to pick one at random. One blog outline will use "dashboard" exclusively, and another will suddenly switch to "hub," even within the same project. It makes our drafts feel disjointed, and it's creating extra editing work to manually standardize everything.

I've also experimented with creating a very detailed "content guide" in the input, listing our preferred primary and secondary terms. But it feels like I'm fighting the tool, and on longer documents, it seems to "forget" my instructions by the third or fourth section.

Is this just a limitation of the current platform, or am I missing a feature? I saw you can create custom "brand voices," but they seem more about tone than enforcing specific terminology. I'm wondering if there's a workflow or a specific way to structure the prompts that locks this down. Coming from the world of databases, I'm used to defining a "source of truth" once, and I guess I'm looking for something similar hereβ€”a single place to define our key terms that all generated content pulls from.

Any tips from folks who've been using it longer? I really want to make this work, as the team loves the idea, but the inconsistency is a bit of a blocker for scaling our content creation.
