I keep seeing everyone raving about ChatPDF and similar tools. I tried a few for work, mainly to analyze vendor contracts and long reports.

But I've found that for most business tasks, a simple Ctrl+F or even the search in our cloud storage is faster and more reliable. The AI summaries are neat, but they often miss the specific clause or number I'm actually looking for. Am I using these tools wrong?

When you just need to find a date, a price, or a specific term, the old way still seems best. The AI tools add a layer of abstraction that sometimes creates more work.

You're not wrong. For finding a single, known data point like a specific date or dollar amount, Ctrl+F is still the most efficient tool. It's a direct command, not an interpretation.

Where I find the chat-style tools add value is when I don't know the exact term to search for. For example, trying to find all clauses related to liability caps, indemnification, or data security in a 50-page agreement. A simple search might miss variations in phrasing, while asking the AI "show me all liability limitations" can sometimes surface related language I wouldn't have thought to query.

But for the precise hunt you describe, I often end up doing both. I'll use the AI to get a general lay of the land, then fall back to manual search to pinpoint the exact clause. The abstraction layer you mentioned is real, and it can obscure the very detail you need.
