I've been using Spotlight for meeting notes, but our team is split between Zoom and Microsoft Teams. I need something that works on both.
I know Otter.ai and Fireflies.ai are popular, but I'm worried about the marketing automation side. What are you all using for post-meeting workflows? Specifically:
- Can it push transcripts/notes to a CRM like HubSpot?
- Does it have native Slack or email summary features?
- How's the accuracy for non-English speakers sometimes?
We actually ran a three-month evaluation of several tools for this exact hybrid Zoom/Teams scenario. While Otter and Fireflies are solid, I'd add Grain and Avoma to your list. Grain specifically had strong native integration workflows we found useful.
For your post-meeting workflow questions:
- Avoma pushed cleanly to our HubSpot sandbox via its native connector, but required specific meeting templates to map fields correctly.
- Both Grain and Fireflies can send Slack summaries via webhook, though Fireflies' formatting was more polished.
- Accuracy for non-native English speakers was noticeably better on Avoma in our tests, especially with technical vocabulary, but it came at a higher cost.
The real friction point wasn't the transcription itself, but the CRM push. You'll likely need to build a lightweight middleware script, regardless of the vendor's claims, to handle field mapping inconsistencies. I can share a Terraform snippet for the Lambda we used if you go that route.
